Responsibilities

• Customer Communication & Dispatch: answer incoming calls, assist customers experiencing property damage, collect job details, schedule inspections and follow-up work, and keep customers informed of status and next steps.
• Bookkeeping & Job Costing: track job costs (labor, materials, subcontractors), create and send invoices to customers and insurance carriers, reconcile vendor bills and expenses, and assist with accounts receivable follow-up.
• Admin & Job File Management: maintain complete and organized job files (RMS, QuickBooks), ensure documentation is accurate, and support project managers with billing.

Requirements

Preferred experience:

• Strong communication skills (phone and email)
• Highly organized and detail-oriented
• Ability to manage multiple tasks simultaneously
• Experience with QuickBooks or bookkeeping preferred
• Ability to stay calm and professional in urgent situations
• Administrative, dispatch, or coordination experience
• Construction, restoration, or insurance billing experience
• Familiarity with job costing or project-based work
• $45,000–$55,000 per year
